This notice sets out how we collect and process data, the principals we abide by and how to contact us should you wish to invoke any of your rights as set out in the GDPR Regulation.

Who are we

Extrasolve (Richard Hills trading as Extrasolve) provide control system programming and audio commissioning for UK and international clients.

How we collect and process data

We collect data directly from yourself or a third party you have nominated to act on your behalf. We may also collect data from publicly available sources, other organisations or generate it ourselves during our work.

We limit the data we collect to that which is essential to our work or can improve the service we provide you.

We collect and store this data to fulfil our agreement(s) with you. We may also collect data where we have a legitimate interest, are fulfilling a legal obligation or where you have agreed for us to do so.

Examples of how we process data are listed, but not limited to, below:

Due to contract, we will process data to:

• Provide a quote.
• Confirm your identity, verify location or conduct credit/fraud checks.
• Carry out your instructions (or those of your chosen third party).
• Identify you when you contact us, or to contact you regarding the work we are completing for you (we do not send mailshots, or marketing messages).
• Invoice you or to communicate regarding non-/under/over/delayed payment.

Due to legitimate interest, we will process data to:

• Review and improve our services and business/customer relations.
• Follow up when you have contacted us regarding our services.

Due to legal obligation, we will process data to:

• Maintain financial records.

We will never sell your data or pass it on to irrelevant third parties. Where a project requires, we may share limited data with subcontractors and suppliers (including couriers and delivery companies if required). In the event you provide us with information on others during the contract, we will only use this within the parameters you have set out.

Due to the nature of our business we maintain records indefinitely (unless requested to do otherwise). This enables us to provide a lasting and meaningful level of service and support. Whilst also maintaining our legal obligations such as financial records or records of data processing consent.

Security

Your data is protected by a combination of encryption and access controls. If your information is transferred or stored outside the UK we will ensure that an equivalent, or enhanced, security level is maintained as appropriate.

Your Rights

You have the following rights in relation to your data:

Access: You can request to see the data we hold on you.
Rectification: You can request we update incomplete or incorrect records.
Data portability: You can request that we transfer the data we hold on you in an electronic and usable format.
Control: You can restrict or halt the processing of your data; including requesting the removal of your data from our systems to the extent the law provides.
